Reservations & deposits

A confirmed booking requires a 30% deposit at the time of contract signature. The balance is due 60 days before the start of your trip. For trips booked within 60 days of travel, full payment is due at confirmation.

Cancellation policy

Cancellations must be communicated in writing to [email protected]. Refund schedule from the date of written cancellation:

  • More than 90 days before travel: deposit refundable minus a USD 250 administration fee per booking
  • 60–90 days before travel: 50% of total refundable
  • 30–59 days before travel: 25% of total refundable
  • Less than 30 days before travel: no refund

Note that the Belmond Hiram Bingham, the Belmond Andean Explorer, and Machu Picchu Ministry of Culture tickets carry stricter, non-refundable terms set by the suppliers. These elements may be non-refundable from the moment they are confirmed.

Travel insurance

Comprehensive travel insurance is mandatory for all our bookings and must include trip cancellation, medical evacuation (Peru's altitude requires this), and luggage protection. We recommend providers but do not sell insurance directly.

Force majeure

In the event of force majeure (natural disasters, government closures, pandemics, civil unrest), we will work in good faith to either reschedule your trip at no penalty or refund all amounts not already disbursed to non-refundable suppliers. We are not liable for losses caused by force majeure beyond this commitment.

Itinerary changes

We reserve the right to make minor itinerary substitutions in your interest (alternative hotel of equal or higher category, alternative guide, etc.) and will inform you promptly. Substantial changes will be presented to you for approval before being made.

Liability

Luxury Machu Picchu Tours acts as a coordinator of services provided by third parties (lodges, train operators, restaurants, guides). We select these suppliers with care and stand behind our recommendations. Our liability is limited to the amount paid for services through our agency, and we cannot be held liable for actions of independent suppliers beyond our reasonable control.

Health & altitude

Cusco sits at 3,400 m. The Sacred Valley sits at 2,800 m. Travelers with cardiovascular or respiratory conditions should consult their physician before booking. We do not accept liability for altitude-related health events not disclosed at the time of booking, but we work hard to design our itineraries to minimise altitude stress and will adjust freely on the ground when needed.

Disputes

These terms are governed by the laws of Peru. Any disputes shall be resolved through good-faith negotiation, and failing that, through the courts of Cusco.
